Diagnostic order: cheapest first
Roughly 60-70% of residential AC failures are electrical, and most of those are capacitors or contactors. Both are inexpensive parts with a 15-30 minute swap time. This is the right order to work through the problem:
1. Check the obvious (no-cost, no-tech): Is the thermostat set to COOL and below room temperature? Is the furnace filter clogged enough to block airflow entirely? Is the condensate drain line overflowing and tripping the float switch? These cause AC shutdowns and cost $0 to fix.
2. Capacitor ($130–$400): If the outdoor unit hums but the fan won’t spin, or the compressor won’t kick on, a failed capacitor is the first suspect. 3. Contactor ($150–$400): If the unit won’t start at all when the thermostat calls for cooling — no hum, no response — the contactor (the relay that closes when your thermostat signals the unit) is worth checking, and is often replaced alongside the capacitor when both are showing age.
4. Fan motor ($400–$800): If the fan runs but slowly, or runs intermittently, and the capacitor tests good, the condenser fan motor itself may be failing. This repair is straightforward but takes longer and costs more because the motor is a larger, mounted assembly.
5. Refrigerant issues ($200–$1,500+): If the unit runs, the fan spins, but the air isn’t getting cold, low refrigerant is a common culprit. A refrigerant “top-off” only makes sense if the leak is found and repaired first; adding refrigerant to a leaking system is wasted money. By law, only EPA 608-certified technicians can purchase and handle refrigerants.
6. Control board ($500–$1,500): If the unit has power but no response to any signal, or if it’s throwing error codes you can’t clear, the control board may be faulty. This is the repair that argues most strongly for comparing its cost against the age of the system before approving it.
When repair stops making sense
The standard benchmark: multiply the repair cost by the unit’s age in years. If the result exceeds $5,000, get replacement bids before you approve the repair.
Examples:

Red flags on a repair quote
- A blended price with no part specified. You’re entitled to know what component is failing, its exact spec (part number or description), and its cost as a separate line from labor.
- “Your system is too old to repair.” Technically true for a 25-year-old unit; a sales pitch for a 10-year-old one with a failed capacitor. Get a second opinion before approving replacement on a unit that still has useful life.
- No refrigerant leak search before a top-off. Adding refrigerant without finding the leak costs you twice: the refill now, and another refill in 12 months. A proper leak repair includes leak detection, sealing, and a verified pressure test.
- After-hours emergency pricing on a non-emergency call. Emergency rates ($75–$200 premium) are legitimate for nights and weekends. Booking a same-week appointment doesn’t qualify.
Before you sign: three questions
- “What component failed, and what did it measure?” Good answer is specific: “The capacitor read 28 µF on a 45 µF can.” Bad answer: “It was weak.”
- “Is the refrigerant leak located and repaired, or just topped off?” For any refrigerant-related repair, insist on leak detection, not just recharge.
- “What’s the warranty on this repair: part and labor?” One year on both is standard. If they hesitate on labor warranty, that tells you something.
